E-signature

Send your own contract PDFs for legally binding electronic signature — built in, under your company's name, with nothing from a third party on the document.

1. Upload a template and design its fields

  1. Settings → Document templates → Upload PDF contract template. The page count is read from the file.
  2. Click Design fields. Pick a role (Signer 1–4, ISO / broker, Countersigner) and a field type — signature, initials, date signed, text, checkbox — then click the page where it belongs. Drag to move, pull the corner to resize, Copy to all pages for initials.
  3. A text field can fill from the deal / ISO (merchant name, funded amount, EIN…) — it is stamped from the record and the signer cannot edit it.
  4. Save fields. Roles are how the same template serves every deal: when you send, you say who holds each role.

2. Send from a deal or an ISO

On the deal page (Contracts → Send for signature) or the ISO page:

  • Pick the template. Tick extra documents to send a closing package — each signer gets one email and walks the documents in order.
  • Fill each role from the records: the merchant's contacts (primary / guarantors), the deal's ISO contact, a staff countersigner, or Someone else… by hand. Nobody skips a role.
  • Add CC recipients (they get the notices and the signed copy; they never sign).
  • Choose the signing order: one after another (each signer is emailed when the previous one signs) or everyone at once.

Mandatory stips still gate sending a contract on a deal.

3. What the signer sees

The link needs no account. The signer:

  1. Reads the consent screen (E-SIGN / UETA disclosure plus your wording from Settings → E-signature) and agrees — recorded with time, IP and browser.
  2. Sees the PDF with their fields on it. Next walks the required ones.
  3. Adopts a signature — typed in a handwriting style, drawn, or an uploaded image — and applies it to each spot (or Apply to all). Dates fill themselves; text is typed in place; checkboxes tick.
  4. Clicks Finish & sign. They can Decline with a reason at any point; that stops the request and alerts you.

Typed values save as they go, so a closed tab resumes.

4. Status, reminders, expiry

The request page and the deal's Contracts block show a chip per signer: queued → sent → link opened → viewed → in progress → signed, or declined, expired, waiting their turn. An email opened hint appears when the signer's mail client fetched the tracking image (some clients always do, some never do — the chip is the fact).

  • Reminders go out automatically after the interval in Settings → E-signature, up to the cap; Remind sends one by hand.
  • New link issues a fresh link and kills the old one.
  • Requests expire after the signing window; Void withdraws one (with a reason emailed to the pending signers).

5. The completed document

When the last party signs, the platform:

  • stamps every field into the PDF,
  • appends a Certificate of Completion — document id, every signer's consent and signing detail, the full audit trail, the SHA-256 of the signed content,
  • digitally seals the file so later changes are detectable,
  • files it under the deal's or ISO's Documents as Signed contract, and emails every signer (and CC) a personal download link.

Staff download it from the request page; Rebuild signed copy re-creates it if storage or sealing failed (the audit trail says why).

The seal uses the platform's certificate until you install your own CA-issued document-signing certificate (PKCS#12) under Settings → E-signature.

6. Bulk send

E-Sign → Bulk send sends one template to many recipients from your records — active ISOs, or merchants with a live deal — narrowed by name, with tick boxes, an optional countersigner and CC. Fields prefill from each record. A board per batch shows every recipient's status with remind / new link / void.

Permissions

  • Send for signature — packets, packages, batches, remind, new link.
  • Manage signature templates — upload templates and design fields.
  • Void signature requests.
  • Viewing requests and downloading signed copies follows download documents.

ISO portal

An ISO sees their own agreements on the portal home — awaiting your signature (with the link), awaiting countersignature, fully signed (with the copy).
